Welcome to PatientStars(“PatientStars,” “we,” “us,” or “our”). These Terms of Service (“Terms”) govern your access to and use of our web application available at patientstars.com, our Chrome browser extension, APIs, and associated services (collectively, the “Services”). By creating an account, starting a free trial, or accessing our Services, you agree to be bound by these Terms.

1. Acceptance of Terms
By registering an account with PatientStars, subscribing to a plan, or accessing any part of our platform or Chrome extension, you represent and warrant that:
- You are at least 18 years of age or the legal age of majority in your jurisdiction.
- You have full legal authority to bind your dental practice, healthcare entity, or business organisation to these Terms.
- You will comply with all applicable local, state, federal, and international laws, including healthcare regulations and consumer protection rules.
2. Description of Services
PatientStars provides automated reputation management and local SEO software tailored for dental practices. Features include:
- Automated draft response generation for Google Business Profile patient reviews.
- Google Questions & Answers (Q&A) synchronization and automated response suggestions.
- Local grid map rank tracking and local SEO analytics.
- Patient review request automation via SMS and email.
- Chrome browser extension for managing reviews directly within Google Maps interface.
3. HIPAA Compliance & Pre-Flight Screening
PatientStars incorporates automated HIPAA Pre-Flight Screening designed to assist healthcare providers in preventing accidental disclosures of Protected Health Information (PHI).
Important Responsibility Notice
While our algorithms automatically flag, sanitize, and redact sensitive health terms before response publication, the practice owner and authorized staff retain ultimate legal responsibility for verifying all publicly posted review responses. PatientStars is not liable for inadvertent information disclosed by practice staff or third-party platforms.
4. Account Registration & Practice Security
You are responsible for maintaining the confidentiality of your account credentials, including passwords and OAuth access tokens. You agree to immediately notify PatientStars of any unauthorized access to your account. PatientStars is not responsible for losses resulting from stolen credentials or unauthorized practice user activity.
5. Subscriptions, Trials & Cancellations
7-Day Free Trial: We offer a 7-day Pro trial with $0.00 due at registration. Credit card details are collected via Stripe to verify identity and prevent abuse.
Billing & Auto-Renewal: Subscriptions automatically renew at the end of each billing cycle (monthly or annual) at the listed rate unless canceled prior to the renewal date. Payments are processed securely via Stripe.
1-Click Cancellation: You may cancel your subscription at any time with zero penalty directly inside your practice settings (`/dashboard/settings?tab=billing`). Cancellation takes effect at the conclusion of your current billing period.
6. Promo & Access Code Redemptions
Authorized access codes or promotional trial vouchers redeemed on PatientStars grant temporary subscription extensions (e.g. 1-month VIP Pro trial). Access codes are non-transferable, cannot be exchanged for cash, and may be revoked if obtained through fraud or unauthorized redistribution.
7. Third-Party Integrations & Google APIs
Our Services integrate with third-party providers including Google Business Profile APIs, Stripe, and Resend. Your use of third-party features is subject to their respective terms of service, including the Google Terms of Service. PatientStars is an independent software vendor and is not affiliated with or endorsed by Google LLC.
8. Acceptable Use & Anti-Spam Policy
You agree not to misuse the Services. Prohibited activities include:
- Posting deceptive, fraudulent, or fake reviews in violation of FTC guidelines.
- Reverse-engineering, decompiling, or attempting to extract source code from the Services or Chrome extension.
- Automating unauthorized high-volume requests that disrupt platform performance.
- Using the Services to distribute unsolicited commercial communications (SPAM).
9. Intellectual Property & Content Rights
All software, UI designs, trademarks, domain names, and algorithms owned by PatientStars remain our exclusive intellectual property. You retain ownership of your practice data and customer reviews. You grant PatientStars a limited license to process your practice data solely to deliver the Services.
10. Limitation of Liability & Warranty Disclaimer
Disclaimer of Warranties
THE SERVICES ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL PATIENTSTARS, ITS DIRECTORS, OFFICERS, OR EMPLOYEES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, REVENUE, OR DATA. PATIENTSTARS’ TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS SHALL NOT EXCEED THE TOTAL AMOUNT PAID BY YOU TO PATIENTSTARS IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.
11. Indemnification
You agree to defend, indemnify, and hold harmless PatientStars and its affiliates from and against any third-party claims, liabilities, damages, losses, or expenses (including reasonable attorney fees) arising out of or in connection with your practice’s violation of these Terms, applicable healthcare laws, or third-party privacy rights.
12. Termination
We reserve the right to suspend or terminate your account upon written notice if you materially breach these Terms. You may terminate your account at any time by canceling your subscription and discontinuing use of the Services.
13. Governing Law & Binding Arbitration
These Terms shall be governed by and construed in accordance with the laws of the State of New York, without regard to conflict of law principles. Any dispute arising out of or relating to these Terms shall be resolved through binding individual arbitration rather than in court, and you waive any right to participate in a class-action lawsuit or class-wide arbitration.
